When a buyer is working in Word on a vendor comparison document, RFP draft, or budget justification, they can open the Copilot panel and ask it anything. The patterns that matter for B2B vendor research look like this:
Copilot draws from its underlying model's training data (web content, structured sources, documentation), Microsoft Graph (the buyer's own emails, files, and meeting history), and web search when enabled. Microsoft's own adoption documentation shows Copilot being used to "summarize earlier RFPs, generate a list of required items by category, suggest RFP questions, and revise documents to focus on what matters most."
In Outlook, the pattern extends further. A procurement manager asks Copilot to "draft an email to potential suppliers with a summary of our requirements." Copilot pulls context from the RFP document, previous email threads, and any connected files — and generates the email with vendor names already populated. The vendors that appear are the ones Copilot knew to suggest.
This is not a search query. It leaves no trace in Google Analytics, no impression in Google Search Console, no referral source in your CRM. The buyer found you — or didn't — entirely inside a Microsoft 365 application.
How Gmail's Gemini AI Builds Vendor Shortlists
In January 2026, Google announced Gmail is entering the "Gemini era," embedding AI features throughout Gmail and Google Workspace for its 3 billion+ users. The features that matter most for B2B vendor discovery:
Help Me Write — A sourcer opens Gmail to draft a message to their procurement team. They click "Help Me Write," describe what they need: "Email suggesting 5 vendors for our new HR software search, with a paragraph on each." Gemini drafts the full email — vendor names, capability summaries, and all — drawing from the user's email history, connected Google Drive files, and its training data.
AI Overviews in Gmail search — When a buyer searches their inbox for "vendor options project management," Gemini synthesizes information from across their email threads and Drive files. If your brand was mentioned positively in past conversations, it surfaces. If it wasn't, it doesn't.
Google Docs integration — A team drafting a vendor comparison in Google Docs can ask the Gemini sidebar: "Suggest five vendors for [category] and add a comparison table." Gemini writes the content directly into the document. Same dynamic: no browser, no Google Search, no analytics trail.

The use cases where AI vendor suggestions appear are not edge cases. They are the standard workflows of B2B procurement right now.
- RFP drafting in Word: A procurement team starts a Request for Proposal. Before they know which vendors to name, they ask Copilot to describe the typical vendor landscape for the category. Copilot generates the initial list. The RFP is built around those names.
- Vendor shortlist emails in Gmail: A sourcer is tasked with finding three vendors to evaluate. Instead of Googling, they ask Gemini to draft a shortlist email for leadership. That email — with AI-generated vendor names — becomes the official shortlist sent to the decision committee.

The AI that buyers use most often is now embedded in the tools they already have open.

Why This Is Invisible to Google Analytics
This is the measurement problem that makes AI vendor suggestions uniquely difficult to track: there is no referral source.
When a buyer finds your brand through a Google search, the session appears in GA4 as organic traffic. When they visit via a Google AI Overview, at least 90% click through to a cited source — generating a referral. When they read about you in a newsletter, there's a UTM parameter.
When a buyer encounters your brand inside Microsoft Word's Copilot panel — nothing happens in your analytics. No session. No impression. No referral. The AI generated text that your buyer read, text that may have included or excluded your brand, and your systems recorded nothing.
The same is true of Gemini in Gmail. If Gemini suggests your brand in a vendor shortlist email that gets forwarded to a five-person procurement committee, you have zero visibility into that touchpoint. Review sites. G2, Capterra, Gartner Peer Insights, TrustRadius, and Software Advice are among the highest-citation sources in AI-generated answers about software vendors. SE Ranking's research found these five platforms account for 88% of all review-platform citations in AI Overviews — and LLMs treat them as authoritative structured databases because they contain categorized feature lists, ratings, pricing tiers, and comparison tables that models can parse efficiently. A vendor with no G2 presence is harder for AI to characterize, and therefore less likely to appear.
LinkedIn. Company pages and professional profiles contribute to how AI understands a brand's positioning, team, and legitimacy — including in Microsoft Copilot, which has deep LinkedIn data integration through the Microsoft Graph ecosystem.
Structured data and entity markup. Websites that use schema.org markup, clearly named product categories, and structured content — tables, defined lists, labeled sections — are easier for AI to extract accurate information from. A dedicated /llm-info/ page that clearly states what your product does, who it serves, and what category it belongs to is an increasingly common and effective practice.
Microsoft Graph (for Copilot). Copilot in enterprise contexts also draws from the buyer's own organizational data: past emails mentioning vendors, documents from previous RFP processes, meeting notes from vendor calls. A brand that has been discussed positively in internal communications has an organic advantage here that no external marketing tactic can replicate.
How to Show Up When AI Suggests Vendors
Getting into AI-generated vendor shortlists requires a different approach than ranking on page one of Google. The inputs are different. The failure modes are different.
- Define your category precisely. AI answers "what category does this brand belong to?" before it can suggest you for anything. If your positioning is ambiguous — if your homepage describes a general capability rather than a specific category — the model cannot reliably include you in category-specific queries. Name the category you want to own and use that language consistently across your website, review profiles, press materials, and executive content.
- Build presence on review platforms. G2, Capterra, and Gartner Peer Insights are not optional for B2B vendors who want to appear in AI suggestions. Complete every field. Collect reviews that describe your product in specific, searchable terms. The structured data on these platforms is exactly what AI models extract when generating vendor comparisons.
- Write answer-first content. AI models favor content that states its point directly at the top of each section. If you want AI to cite your brand when someone asks "what are the best vendors for [category]," you need content that directly answers that question — with your brand named, positioned, and described in terms buyers use.
- Maintain consistent positioning everywhere. If your website says one thing, your G2 profile says another, and your LinkedIn page says a third, AI models have conflicting signals and produce inconsistent or absent citations. Consistent brand language across all surfaces is the foundation of AI-discoverability.
- Pursue third-party mentions. AI models weight external validation — industry publications, analyst coverage, customer case studies published elsewhere, expert mentions. A brand discussed only on its own website has weak AI discoverability. A brand referenced in industry media, cited in analyst reports, and discussed in community forums has multiple corroborating signals.
- Use structured data on your website. Schema.org markup for your product, organization, and pricing gives AI models clean, structured signals. A clear
/llm-info/page — a structured overview of your product, customer profile, and category — is an effective and underused practice.
The Measurement Problem: You Can't Track In-App AI Suggestions with GA4
Most B2B marketing teams have two data points on their radar: Google rankings and pipeline attribution. Neither tells them anything about what Copilot or Gemini says about their brand.
GA4 does not capture in-app AI answer sessions. Google Search Console does not index Gemini's Gmail suggestions. Your CRM attribution model does not have a "Microsoft Copilot vendor list" source. Only 22% of marketers currently track AI visibility — and fewer than 26% plan to develop content specifically for AI citations.
This is not a reporting failure you can fix with a better analytics setup. The channel doesn't emit data into your existing measurement infrastructure.

The questions you need to answer from those prompts: Does your brand appear? How is it described when it does? Where are you absent — which queries return shortlists that exclude you? How does your narrative compare to your competitors' in the same queries?
Without this data, you are managing your brand's AI presence entirely blind.
